The Accounting Department of Southwest Property Management provides accurate and timely financial reports to the Board of Directors and our community managers. We provide them the information necessary to make informed business decisions.  This allows them to be better equipped in their management and control functions.
Our financial reporting is generated using TOPS Professional software developed specifically for the community management industry, and is in compliance with the AICPA (American Institute of Certified Public Accountants) guidelines for community association accounting.
Our accounting services include, but are not limited to the following:
• Provide monthly financial statement to the Board of Directors:
o Balance Sheet
o Income and Expense Statement
o Statement of Reserves
o Aged Accounts Receivable
o Summary of Monthly Accounts Payable
o Detailed G/L Trial Balance Report
• Billing and collection of monthly/quarterly Association Maintenance Assessments; Master Association Fees, and Special Assessments.
• Process all Accounts Payable invoices with two check runs per month and/or weekly for our larger Condominiums and Homeowner Associations.
• Aggressive delinquency management pursuant to the Association’s Declarations and additional resolutions adopted by the Board of Directors.  We recognize the importance of timely noticing of intent to lien and initiate foreclosure action, if necessary.  Further, we work with the attorneys and banking institutions on the foreclosures and short sales.
• We offer safe and secure lock box integration with participating Association Banks.
• We offer secure access for members to make on-line payments via credit card or e-checks.
• ACH Payment Processing:  A method of payment that allows us to electronically withdraw funds from members’ banks using routing and account number provided by the member.
• We provide payroll services to Associations that maintain an on-site staff.  We process timely deposits and quarterly tax returns, both federal and state.  We issue tax statements at the end of the year for each employee.
• We provide all requested data to the CPA firms at year end for Audits, Reviews and Compilations, as well as provide data for IRS and State tax forms.
We have a fully staffed, well trained, accounting department available Monday through Friday, 8:00 a.m. to 5:00 p.m. to assist you with any of your accounting questions or concerns.  Working together as a team with all of our Southwest Property Management professionals, our daily goal is to enhance all levels of customer satisfaction through timely reports and effective communication.
